Use AI to write a letter or email

A chatbot can help you get started on a thank-you note, a complaint letter, or an email to a company. You stay in charge: it writes a draft, and you decide what to keep.

Print-friendly. This page prints on plain paper in large type, with the colors and menus removed.

The button needs your browser to allow it. You can also press Ctrl and P together (on a Mac, Command and P).

Last checked: October 21, 2026. Time needed: about 10 minutes. Works with ChatGPT, Gemini, Copilot, and Grok.

Safe practice: Leave out account numbers, your address, and your date of birth. Write [my account number] instead, and fill it in yourself at the end.

Step by step

  1. Open the chatbot you use. If you have not tried one yet, start with your first question.
  2. Tell it who the letter is for, why you are writing, and the tone you want (friendly, firm, or formal).
  3. Copy one of the example requests below, change the words in brackets, and press Enter.
  4. Read the draft. Ask for changes in plain words: Make it shorter, or Make it more polite.
  5. Copy the draft into your email or a document.
  6. Fill in the real names, dates, and numbers yourself, then read it once more before you send it.

Example requests to copy

A thank-you note

Write a short, warm thank-you note to [my neighbor] for [watering my plants while I was away]. Keep it to four sentences.

A polite complaint

Help me write a polite but firm email to a company. I was charged twice for [my order] on [date]. I want one charge refunded. Keep it short and clear.

A letter to cancel a service

Write a short letter asking to cancel my [magazine subscription] as of [date], and asking them to confirm the cancellation in writing.
